POSITION TITLE:  Payroll and Accounting Specialist
COMPENSATION RANGE: 40,441.00 - 47,895.00 USD per year
EMPLOYMENT CLASSIFICATION: Professional Administrative

Position Summary:

This position will oversee and process all payroll and general accounting duties for the UNC Extended Campus. The Payroll and Accounting Specialist will be responsible for reviewing and submitting payroll for all Ext. Campus employees, provide timely and accurate compensation, and ensure compliance with all UNC, State, and Federal regulations. This position will also be required to support and process travel, p-card reallocations, purchase orders, check/ACH requests, invoices, journal entries, and other related transactions. In addition, this position will handle all of Loveland building room scheduling, key check out, technology troubleshoot/instructions, as well as fleet management for UNC cars. This position requires professionalism, strong time management skills and the ability to communicate and collaborate effectively.

Job Duties:

50% - Payroll Responsibilities
Oversees procedures and process of payroll functions for Extended Campus employees. Primary responsibilities include but are not limited to:
• Process payroll for faculty, staff, and students (TAs/GAs) – Monthly/Semi-Monthly
• Update employee records, ensuring accuracy and confidentiality.
• Prepare labor redistribution forms and faculty salary cost transfers.
• Identify problems/issues and assists employees resolve payroll related inquiries and discrepancies.
• Performs monthly payment reconciliation and maintains accurate records of payroll documentation and transactions.
40% - Accounting Responsibilities
• Maintain office supply inventory, reorder necessary items and special-order items.
• Make travel arrangements, request travel authorizations, and process travel reimbursements.
• Submit contracts (sales, proposals, MOUS, etc.) for approvals.
• Prepare and submit independent contractor agreement paperwork and payments.
• Process purchase orders for payment and communicate with purchasing agents and/or vendors when discrepancies arise between invoices and orders.
• Submit check/ACH requests to pay invoices.
• Reconcile invoices and purchases, investigates errors, and process journal entries to correct the transactions FOAP as appropriate.
• Prepares monthly reports and summaries for internal use by compiling information and reconciling various ledger accounts.
• P-card holder and reallocator.
10% - Loveland building scheduling and fleet management
• Assign rooms for classes and UNC room requests and set up rooms according to request each term.
• Add room schedule to Loveland Outlook calendar each term.
• Meet faculty or UNC affiliates in Loveland and provide building information as well as check out a room key and provide
technology instructions. Place direction signs in the hallway for each class or event.
• Responsible for key check out for Loveland building.
• UNC Car management which includes car maintenance (oil change, tire pressure, emissions, etc) as well as working with fleet
management on campus for any repairs, etc.

Minimum Qualifications:

1. Education: A Bachelor's degree from an accredited higher education institution is preferred or 2 years of equivalent experience in lieu of degree.

2. Experience: Prefer a minimum of 2 years’ experience in Higher Education

3. Ability:
-Successful computer skills to use University and ExC databases and reporting systems;
-Understanding of sound self-support financial practices;
-Analyze payroll reports, identify problem issues, and provide solutions;
-Resolve disputes (of financial nature) with students, faculty, staff, or other University personnel
-Maintain unit guidelines while staying within College, University, and state guidelines;
-Meet deadlines set by unit, University or state
-Demonstrated excellent written, oral, and interpersonal communication skills, and the ability to interact effectively with a wide variety of audiences;
-Commitment to inclusion, affirmative action, and equal opportunity.

Employees at UNC receive sick leave, and otherleave options may be available based on position. Full-time employees areeligible to receive tuition waiver benefits, as well as dependents and spousesof UNC Employeeswho are employed at 0.5 FTE or above are eligible for undergraduatedependent tuition grants of up to 50%. These tuition grants will cover in-statetuition charges. Further requirements may exist. Other benefits may be availablebased on position.
